What to Expect
We truly believe that working in partnership with our clients brings out the best results, therefore, we’ve put together a guide on how we work.
This page combines all of the information you will receive from us throughout a project in one place. This is the result of decades of experience, in the creative industry, where we’ve honed systems and processes to ensure we can effectively see each project through to completion.
The result of this is the smooth running of each project, a successful outcome for the client, and happy creatives! That said, we always welcome feedback on how we can make the process easier. The 4 key milestones of any project are as follows:
❋ Project kick off
This is where we outline the scope of a project and get key dates in the diary and budgets agreed.
❋ Project updates
This typically follows the first round of delivery and lets you know what happens and when you can expect to hear from us next.
❋ Project delivery
We’ll first deliver a draft of what we have created and ask for your feedback on certain elements, once we have heard back from you we will then diarise the delivery of the completed project.
❋ Follow up
Once we have delivered the completed project, we’ll follow up to see how it’s going, whats worked and how it’s been received by the consumer, a vital process for future success!
1. Project kick off
You will receive an email confirming what has been agreed between us (you the client and us Oomph). This will include the agreed date, times, and locations, it will also detail the requirements on the day or days, what the expected output will be, the agreed fees, expected editing dates and project turnaround times.

Booking: Upon receiving a booking conformation, we commit to the agreed date and prioritise you, the client. We will decline all other work for the agreed date, period and/or timescale.
Postponing or canceling a shoot after confirmation, results in a loss of vital income for Oomph and will incur a minimum cancellation fee of £250.00 per shoot, per day. Adhering to our terms of engagement helps prevent unexpected costs for all parties.
Brief: If specific shots are required, please provide a brief in advance of the shoot. Whilst we cannot guarantee every shot can be met, we always work in our clients' best interests to achieve the best results possible.
If no brief is provided by the client, you grant us full creative control.

At this point we will outline the expected deliverables in the project delivery stage. Requests after this stage of the process cannot be guaranteed.
By default, licensing will always remain with Oomph and assigned to the client. Third party use will always require permission from the copyright holder.
If exclusivity or any specific permissions are required, it is essential they are outlined at this stage of the project. Please note where location permissions are required for filming or photography, it is the responsibility of the clients to ensure these are in place. -
To avoid confusion, we like to stick to one channel for project communication.
2. Project update
At this point we will have usually completed the initial meeting or shoot day. We will simply be following up to let you know what happens next. This includes providing meeting notes, backing up images and/or footage, informing you of the editing queue (if applicable), and when you can expect to hear from us next. We’ll usually go quiet for a period of time, which is nothing to worry about, we will be working on your project.

Following a shoot we back up all of the images and footage taken at your shoot. We process it ready for editing to begin.

Every project is different. Following a shoot we will add your edit to our editing queue.
We will provide you with an estimated edit start date. This is when we estimate we will start to edit your specific project. It does not mean the date when your edit will be completed.
If you have any hard deadlines (eg. events, campaigns, or launches), please let us know in advance, so we can work with you to plan for the edit release to coincide.You can trust that we’ll keep things moving and let you know as soon as we’re ready to share the first draft.
If you haven’t heard from us, it usually means we are deep in your edit. A good edit takes time and requires a positive flow state. We always want to make sure the edit is polished, on brand, ready and not rushed. -
You can expect to hear from us again once your first draft is ready for you to view, and feed back on.
3. Project delivery
At this stage of the project we have a first draft ready for the client to view and require critical feedback before proceeding to final delivery. You can expect to receive a draft to view online, an exciting milestone.
We will detail specific elements we are looking for feedback on as well as certain elements we not looking for feedback on at this stage of the project that will come at a later date.

In order to keep momentum and ensure a smooth progression towards project completion, we want to keep the edit open.
All we ask is for you to collate all of the feedback into one. We can then arrange a meeting, Google meet or phone call, to go through all of the feedback at once.
We request feedback is received no more than 2 weeks from draft delivery.
Providing feedback in an effective and timely manor, means we can keep the project open on our system ready for one round of edits. This can then be exported ready for completion quickly.
Delaying feedback or providing multiple rounds of revisions may delay the project completion and incur fees.

Once we have received feedback we can schedule your final edit through to completion. We’ll provide an expected completion date.
Additional fees
Below are a list of fees that we try to avoid charging, and only really do so if certain project processes are not being followed. Delays in project progress, such as feedback deadlines being missed, means that it starts to creep, which in turn provides us with additional time and scheduling costs. Ensuring agreed processes are followed to the best of our collective ability, means we can keep to the agreed budget, for both parties.
Cancellation charge
If we have not received feedback beyond the agreed timescale (2 weeks from draft delivery), we reserve the right to archive the project. Recovering the project at a later date, incurs us in time and will attract a small administrative fee.

Call back
If we are required to come back to a client premises following a shoot, for something that was not included in the agreed brief, or was asked for on the day that we did not have time to achieve, we will need to charge a a small fee for additional time and travel.

Delayed feedback
Agreed shoot days and project cancellations can cause a severe loss of income for any business, especially one that sells based predominantly on time. Once the project has been agreed, you are booked in, and that date is secure. We commit to the agreed date and you are our priority. As a result we turn down other work on that date.
Cancellation within 2 weeks of the shoot will incur a minimum charge of £250.00 per shoot day agreed. We may also have to pass on other specific costs occurred, such as; studio hire, styling fees, model fees, etc.

Re uploading
Once a project has been delivered our client has 2 weeks to download their files via an agreed online portal. We are not responsible for hosting or backing up client content, as we do not offer long term storage.
If a client provides us with a suitable external hard drive at the time of project completion, we are happy to copy the files over to it. However, if a client requires us to re-upload files in the future, we reserve the right to charge a small administrative fee.
If, however, the invoice remains unpaid and we have to chase again, then we will make the initial administration charge of £100.00 plus an additional 5% of the invoice total.

Invoice chasing
If an invoice is not settled as per our clearly stated legal terms, and goes beyond a 21 day period, we will issue a reminder. If the invoice goes beyond 30 days and we have to chase for payment, we reserve the right to charge an administration fee.
